Apply for one of 20 free all access passes to the Smart City Expo World Congress in Barcelona 4-6 November 2025 

1. Introduction: This promotional giveaway ("Promotion") is operated by The Institute of Public Works Engineering Australasia Limited ("the Company"), located at Suite 6:03, Level 6, 99 Walker St, North Sydney, Australia 2122 in cooperation with the Australian Smart Communities Association (ASCA). By participating in this Promotion, you are agreeing to the following Terms and Conditions. Please read them carefully.
2. Eligibility: This Promotion is open to all current Members of the four cooperating associations as at the end of the Promotion Period. Selected participants must abide by the promotion’s member code of conduct as representatives of an official delegation for Australia, New Zealand and the Asia Pacific Region, and have the ability and willingness to travel to Barcelona, Spain at least one full day prior to the commencement of and for the duration of the event and have secured and have proof of paid flights and accommodation to then be issued with a free ticket. Participants are eligible with current permanent residency or citizenship in Australia and New Zealand. Residents must sign and abide by the code of conduct and add proof of current residence and a local contact number to prove their location of residency.
3. Promotion Period: The Promotion begins at 12:01 AM AEST on Monday 19 May and ends at 11:59 PM AEST on Tuesday 30 September ("Promotion Period"). The Promotion Period may be suspended before the end date if all passes are both allocated and travel is confirmed by the recipients.
4. How to Enter: To enter the Promotion, participants must enter their full name, title, organisation, email, phone, address and respond to other questions in this provided form. No purchase is necessary to enter or win. You can only enter the promotion once.
5. Passes: The all access passes will be awarded to up to 20 individuals who will each receive an all-access pass to the Smart City Expo World Congress event to be held on 4-6 November 2025, at Fira Barcelona. The Prize is transferable to another current association member (if agreed by the association in writing) and the attendee is confirmed once proof of paid flight and reserved accommodation is provided. The all access pass is non-exchangeable and cannot be redeemed for cash. Recipients are solely responsible for all other costs of their participation in this event including but not limited to air travel, ground transport, accommodation, meals, incidental expenses and travel insurance.
6. Recipient Selection and Notification: Recipients will be selected by the participating associations at their sole discretion based on the applications meeting the eligibility criteria outlined in the application form. Priority will be given to members from local government, start-ups/SMEs, academia and government. The allocation of all access passes will be done on a first come, first served basis every few weeks through the course of the Promotion to allow recipients to finalise their travel arrangements as soon as possible. Recipients will be notified via the contact details supplied.
7. Recipient Confirmation: If a recipient cannot be contacted, is ineligible, or fails to provide proof of flight purchase and accommodation reservation within 30 days from the date of application, the right to the all access pass may be lost to others due to the allocation being on a first come, first served basis.
8. General Conditions: The IPWEA reserves the right to cancel, terminate, modify or suspend the Promotion should any virus, bug, non-authorized human intervention, fraud, or other cause beyond its control corrupt or affect the administration, security, fairness, or proper conduct of the Promotion. The IPWEA also reserves the right to cancel, terminate, modify or suspend the Promotion should the event be cancelled, or the event organisers change the terms under which the all access passes are provided for any reason.
9. Limitations of Liability: By entering, participants release and hold harmless the IPWEA, cooperating associations, their subsidiaries, affiliates, advertising and promotion agencies, partners, representatives, agents, successors, assigns, employees, officers, and directors from any liability, illness, injury, death, loss, litigation, claim, or damage that may occur, directly or indirectly, whether caused by negligence or not, from such participant’s participation in the Promotion and/or his/her acceptance, possession, use, or misuse of the all access pass.
10. Disputes: This Promotion is governed by the laws of New South Wales. As a condition of participating in this Promotion, the participant agrees that any and all disputes that cannot be resolved between the parties and causes of action arising out of or connected with this Promotion, shall be resolved individually, without resort to any form of class action, exclusively before a court located in New South Wales having jurisdiction.
11. Privacy: Any personal information supplied by you will be subject to the privacy policy of IPWEA posted at www.ipwea.org. By entering the Promotion, you grant the IPWEA permission to share your email address and any other personally identifiable information with the other Promotion partners and Fira Barcelona for the purpose of promotion administration and fulfillment.
