Fleet Management KPIs – Why should Fleet Practitioner’s care?

Back in December 2022, we ran an article in Fleet intouch called Fleet KPIs and Benchmarking. The article was developed from a survey that IPWEA conducted at last year’s Fleet Management Training Days. It was a real eye opener because the findings showed that fleet practitioners in the survey sample were mainly focused on Utilisation and to a lesser degree Whole-of-Life-Costs and Optimum Asset Replacement.

The above key performance indicators (KPIs) represent only 3 of the top 10 KPIs as listed in IPWEA’s Plant and Vehicle Management Manual (PVMM). The other top KPIs listed in the PVMM are availability and/or downtime, maintenance failures (fault repairs), flat-rates or estimated repair times, scheduled to unscheduled maintenance ratio, scheduled preventative maintenance program compliance, repair turnaround time, and downtime cost. Sadly, the survey results showed that these metrics were given modest attention by fleet practitioners.

Findings from the survey showed that fleet practitioners spend the bulk of their time reacting to the demands of the job rather being proactive managing senior management expectations. Collecting and accessing data, gaining insights and preparing reports appears to be onerous and takes time. However, it’s vital that fleet practitioners persist with the effort to understand and leverage these important metrics.

As the PVMM states, “It is essential to monitor the performance of the fleet and its management”, thus “ensuring effective, efficient and safe service delivery, identify opportunities for improvement and develop a culture of continuous improvement.” Consequently, by establishing and leveraging KPIs on an ongoing basis, fleet practitioners can routinely monitor performance as well as proactively respond to areas requiring attention.

IPWEA considers the use of performance metrics within the fleet industry to be highly important. Based on this, a 2-part webinar series on Fleet Management KPIs has been put together for the fleet community. Each session is 1 hour in length with the first one starting on Thursday, 20 July at 11 am AEST. The series will feature a panel consisting of a specialist consultant, fleet manager and technology company. They will discuss the Why and What in Part 1 and the How in Part 2.
