Abstract Terms and Conditions

  • Lodgement of this abstract does not indicate automatic inclusion in the conference program.
  • Abstracts receipt and acceptance will be sent to the person submitting the abstract.
  • Each abstract must have at least one author registered and be present at the conference.
  • Acceptance of an abstract does not imply provision of travel, accommodation or registration for the conference, nor any other cost associated with the preparation or presentation of the abstract, or any cost associated with attendance at the conference.
  • All presenting authors are required to register and pay to attend the conference as delegates. Presenter registration rates will be available.
  • By submitting an abstract, you grant permission (on behalf of all listed presenters) to publish, display, distribute, reproduce, and store the abstract text, if accepted for presentation, along with author names and any supplied biographies. This may be done across various formats, including print, electronic, and digital media.
  • Conference registration fees will not be reimbursed in case of no-show.
  • The primary author/speaker submitting the abstract is responsible for obtaining any copyright clearance needed for all materials supplied to the conference.
  • Abstracts will be withdrawn if the presenting author is not registered and if there are any changes in the presenting author or if an author can no longer present, IPWEA must be notified with reasonable notice.
  • Abstracts must be submitted in English.

 

Registration Terms and Conditions

Pricing and Payment
  • All prices are listed in Australian Dollars (AUD) and exclude Goods and Services Tax (GST). GST will be added at the checkout.
  • All registrations and tickets are considered final upon submission and are payable in full at the time of registration, unless otherwise agreed. A confirmation email will be issued upon receipt of payment.
  • For international bank transfers, all associated fees must be borne by the delegate. The full registration amount must be received.
Refunds and Cancellations
  • All cancellations must be made in writing via email to admin@ipwea.org. Please note that cancellation fees will apply whether or not payment is received at the time of registration.
    • Conference registrations: Cancellations made more than 30 days before the event will receive a refund less a $100 administration fee. No refunds will be issued for cancellations within 30 days of the conference commencement date.
    • Award Dinner registrations: Cancellations made more than 30 days before the event will receive a refund less a $25 administration fee. No refunds will be issued for cancellations within 30 days of the event commencement date.
Transferability
  • Registrations may only be transferred to another person with prior written consent from the Organiser.
Event Changes, Postponement, and Cancellation
  • The Organiser reserves the right to amend the event venue, dates, speakers, or program at any time. Attendees will be notified of any material changes.
  • If the event is postponed, your registration will automatically transfer to the new date. If you are unable to attend the rescheduled event, you may be eligible for a refund.
  • If the event is cancelled, attendees are entitled to a refund of paid registration fees, function tickets, and activities. The Organiser is not responsible for any travel, accommodation, or other expenses incurred. Attendees are strongly encouraged to obtain appropriate travel insurance to cover any non-refundable expenses.
Code of Conduct and Safety
  • The Organiser reserves the right to refuse entry or remove any attendee behaving in a disruptive, dangerous, or unlawful manner without refund.
  • Attendees must comply with all venue rules, safety requirements, and public health directives.
  • Dangerous goods, illegal substances, and unauthorised promotional materials are prohibited.
Photography and Recording
  • The event may be photographed, filmed, or recorded. By attending, you consent to the use of your image, likeness, or voice for promotional purposes without compensation.
  • Unauthorised recording, broadcasting, or transmission of event content is prohibited.
Liability and Risk
  • Attendees voluntarily assume all risks associated with attending the event, including personal injury or property damage.
  • To the maximum extent permitted by law, the Organiser is not liable for any loss, damage, or injury sustained at the event, including indirect or consequential loss.
  • You agree to indemnify and hold the Organiser harmless from any loss, damage, or liability arising from your actions, negligence, or breach of these Terms.
  • While reasonable steps are taken to engage reputable providers, the Organiser does not control and is not responsible for the independent privacy practices of such third parties.
Privacy
  • Your personal information will be collected, used, and stored in accordance with the Privacy Act 1988. Information may be used for event administration and marketing purposes, subject to your right to opt out.

Sponsorship Terms and Conditions

  1. All invoices are payable within the terms specified on the tax invoice. Sponsorship, advertising and exhibition entitlements will not be confirmed until full payment is received.
  2. Payments not received within 30 days of the invoice (unless otherwise agreed in writing) may affect participation in the Event. All outstanding amounts, including registrations and additional fees, must be paid in full prior to the Event. The Organiser reserves the right to refuse entry to any Participant or representative with unpaid accounts.
  3. All prices quoted in the Sponsorship Prospectus are exclusive of Goods and Services Tax (GST).
  4. The Organiser reserves the right, at its sole discretion, to accept or decline any application without providing a reason.
  5. The Organiser will use reasonable endeavours to allocate participation preferences. If a selected option is unavailable, the Participant will be notified promptly and offered alternatives.
  6. All cancellations must be submitted in writing. Fees are non-refundable unless the cancelled sponsorship or ion space is resold, at the Organiser’s discretion. If resold, refunds will be applied as follows:
    75% refund if notice is given more than 90 days prior to the event
    50% refund if notice is given more than 60 days prior to the event
    25% refund if notice is given more than 31 days prior to the event
    No refund if notice is given within 30 days of the event
  7. For cancellations made more than 30 days prior to the Event, a credit (less a 25% cancellation fee) may, at the Organiser’s discretion, be transferred to another IPWEA Australasia event within 18 months. Credits cannot be transferred a second time.
  8. Participants must comply with all Event, Organiser, and venue terms, including any lease, licence, or safety requirements.
  9. The Organiser reserves the right to terminate participation for non-compliance. In such cases, all monies paid will be forfeited and the Organiser will not be liable for any resulting loss or damage.
  10. Inclusion in Event programs and promotional materials is subject to booking date, receipt of required materials, and production timelines. Failure to meet deadlines may result in forfeiture of entitlements without refund.
  11. All signage and promotional material must be submitted for prior written approval. The Organiser may reject or require modification of any non-compliant materials.
  12. The Organiser reserves the right to amend the ion floor plan and opening hours in the interest of the Event. Participants will be notified of any changes as soon as practicable.
  13. Participants must hold current public and product liability insurance. A valid Certificate of Currency must be provided on request. Failure to provide evidence of insurance may result in refusal of access to the ion area.
  14. Participants must ensure that all structures, signage, and displays comply with venue regulations and workplace health and safety requirements. No display may encroach upon adjacent  space or obstruct aisles or emergency exits.
  15. Participants are liable for any damage caused to the venue, including walls, floors, ceilings, fixtures, or fittings. All associated repair or reinstatement costs will be charged to the Participant.
  16. Participants indemnify and hold harmless the Organiser, Organising Committee, and venue from and against any actions, claims, proceedings, losses, damages, costs, or expenses arising from the Participant.
  17. To the extent permitted by law, the Organiser is not liable for any indirect, consequential, special, incidental or economic loss, including loss of profits, revenue, goodwill, business opportunity or anticipated savings arising from participation in the Event.
  18. The Organiser will take reasonable precautions to safeguard the Participant’s space, entitlements and property but accepts no responsibility for loss, theft, damage, or destruction of any property, however caused. All property is brought to the Event at the sole risk of the Participant.
  19. Participants must not assign, sublet, share, or on-sell sponsorship entitlements or space, nor display products, services, or materials not directly related to their approved participation, without the prior written consent of the Organiser.
  20. If the Event is cancelled for reasons within the reasonable control of the Organiser, the Organiser may provide a refund of monies paid, less any reasonable costs already incurred in connection with the Event or transfer the Participant's booking to a future event. Where cancellation occurs due to circumstances beyond the Organiser's reasonable control, including but not limited to acts of God, natural disasters, public health emergencies, government restrictions, industrial action, venue unavailability, or any other force majeure event, the Organiser shall not be liable for any consequential loss and may, at its discretion, transfer participation to a future event in lieu of a refund.
  21. The Organiser reserves the right to change the venue, date, speakers or program details at any time. Participants will be notified of any changes that may materially impact their participation. If the Event is postponed, the Participant’s booking will automatically transfer to the new date. If the Participant is unable to participate in the rescheduled Event, the Participant may be eligible for a refund.
  22. If government restrictions prevent an in-person event, the Organiser may postpone, run a hybrid event, or hold a fully virtual event. Changes will be communicated promptly. No refunds will be issued, but the Organiser will work Participants to achieve a fair outcome.
  23. The Participant’s aggregate liability under this agreement is limited to the amount paid to the Organiser, except where the Participant is directly responsible for tangible property or personal damage, in which case the Participant bears full liability.
