Super Early Bird Registration - To be eligible for this registration rate, you need to register and pay by 31 Jan 2024. Each super early bird registration includes all conference materials and daytime catering for three days; one ticket for the welcome reception, casual dinner and conference dinner.

‘Early’ Registration – for all full registrations received prior to 5pm on 12 March 2024. To be eligible for this rate, payment must be received within 14 days of the early registration cut-off date. If payment is not received within this time, regular rates will automatically apply. Each full early registration includes all conference materials and daytime catering for three days; one ticket for the welcome reception, casual dinner and conference dinner.

Full Registration - for all full registrations received after 5pm on 12 March 2024. Each full registration includes all conference materials and daytime catering for three days; one ticket for the welcome reception, casual dinner and conference dinner.

Member Registration – This rate is available for IPWEA Australasia members.

International Registrations – Is available for anyone not residing in Australia at the time of the conference. This rate is available to delegates from New Zealand.

Under 35 Registration - Must be 35 and under at the time if the conference.

Day Registration – For delegates who are only able to attend one day of the conference, there is a “Day Registration” rate available for attendance on the Tuesday, Wednesday or Thursday only. Due to strict insurance considerations, ‘shared’ registrations are NOT allowed. Inclusions for day registrations: All conference materials and daytime catering for chosen day. Does not include entry to social functions, however, attendees can purchase tickets for these events separately at the point of registration.

All international bank transfer fees are to be at the cost of the delegate. Full registration fee owing must be paid.

Please note the Registration Form is a TAX INVOICE. Once payment is made, you will receive a confirmation letter and Official Tax Receipt.

Refunds and Cancellations: From 2 November, 2023 the following applies. All cancellations must be made via email to admin@ipwea.org. Substitute delegates can be nominated and accepted with no additional fee up until 26 April 2024. Registration fees will be refunded less a 25% cancellation fee prior to 12 March 2024. After 12 March 2024, the full fee applies. No fee gap refund is applicable due to catering cost commitments. Please note that cancellation fees will apply whether or not payment is received at the time of registration. By submitting your registration, you are agreeing to these conditions. Please refer to the Accommodation booking conditions for your accommodation via the website. Credits are not available.

Privacy Policy: ASN Events Pty Ltd and ASN Conferences Pty Ltd (referred to in this document as ASN) endeavours to deal with personal information in accordance with Australian Privacy Principles. Personal Information is information or an opinion that identifies or could reasonably identify an individual. Purpose: The purpose of this Privacy Policy is to summarise how ASN deals with personal information as required by Federal legislation.

Background: ASN Events is one of the largest Professional Conference Organisers (PCO) in Australia, managing in excess of 50 events per year. ASN also manages the membership of numerous professional societies. In order to successfully carry out these activities ASN collects and handles personal information on a regular basis.

Collection of Personal Information: ASN collects personal information from members of its client organisations, employees, directors and committee members, suppliers, service providers and other people connected with its activities. The types of personal information ASN collects include:

  • contact details (for example name, address, professional information, telephone numbers and email)
  • demographic information (for example, gender and date of birth)
  • professional information (for example, qualifications and specialties)
  • activity related information (participation in ASN managed activities and events).

In conducting its activities ASN may collect health and other sensitive information. For example, ASN collects:

  • medical history information from employees
  • information about a members’ membership in other professional associations.

ASN collects personal information directly from individuals through various channels, including:

  • the ASN website and online surveys
  • delegate registration forms and other correspondence (including electronically)
  • telephone calls
  • face to face contact.

Purpose of Collection and Use: ASN collects personal information as required to carry out one or more of its functions or activities, including:

  • to provide membership services and maintain membership records
  • to provide continuing professional
  • development, education and training
  • to manage conferences and events
  • to enable planning, policy and service
  • to market, advertise or to conduct or facilitate member surveys (such surveys will be communicated from ASN on behalf of a third party in accordance with the ASN Survey
  • to recruit suitable staff within ASN
  • to communicate with directors about meetings and ASN and client business
  • to communicate with staff about work related matters
  • information may also be used for secondary purposes as required or permitted by law.

Disclosure: ASN only discloses personal information for the primary purpose for which it was collected, or for a secondary purpose as required or permitted by law. For example, ASN may disclose personal information to third parties it engages to assist in performing its functions, most often related to the Annual Scientific Meeting.

Where disclosure takes place, ASN will include protective provisions regarding the handling of personal information in contracts with third parties. When conducting a member survey on behalf of a third party, ASN does not disclose personal information to that third party.

Storage and Security: ASN stores personal information electronically and in hard copy, and has secure recordkeeping systems. ASN takes all reasonable steps to protect personal information from unauthorised use, access, disclosure and alteration. IT protection systems and internal procedures are also utilised to protect the personal information held by ASN.

ASN may store electronic information on remote servers or in the cloud directly or through contracted agencies (such as Currinda P/L) – all information is securely stored in Australia with backups securely stored in the United States of America and encrypted before transfer back to Australia).

ASN uses Secure Socket Layer (SSL) certificates, which are the industry standard, for encrypting personal ASN membership information collected via the ASN website. ASN does not store member credit or debit card information.

ASN uses a third party provider, which provides a secure online payment gateway solution for credit card and direct debit processing of ASN membership payments. Personal data is maintained under strict security and is only to be accessed internally by the ASN staff who require access as part of their role or to complete a task. Records containing personal information will be held by ASN until there is no longer a need or obligation to retain such records, after which time they will be deleted, destroyed or de identified.

Links to third party websites from the ASN website may be provided. The ASN Privacy Policy does not apply to external websites. The operators of external websites may collect personal information.

Cookies: A record of each visit to the ASN website is logged – this is a small data file known as a cookie. A cookie does not identify individuals personally, but it does identify computers. Browser settings can be adjusted to disable cookies. The following information from cookies is recorded to compile statistical information about the use of the ASN website. It is not used for any other purpose.

  • IP address and/or domain name
  • Operating system (type of browser and platform)
  • The date, time and length of visit to the ASN or Conference website
  • Pages and resources accessed, as well as documents downloaded

Access and Correction: ASN takes all reasonable steps to maintain the accuracy of personal information it holds. Individuals are encouraged to contact ASN if the personal information held is incorrect or to notify ASN if personal information has changed. Society members and/or delegates can view and change their personal details via their Currinda profile.

ASN may require complaints to be submitted in writing. After ASN receives all the relevant information, it will endeavour to resolve the complaint as soon as reasonably practical.

If an individual is not satisfied with how ASN has handled their complaint, they may wish to contact the OAIC.

Accommodation Bookings: Should you book accommodation via ASN a confirmation email will be sent to your nominated email address. Please check your accommodation carefully, especially your arrival and departure dates. Should an error have been made, please contact ASN via email or phone 61 3 8658 9530 as soon as possible to advise amendments.

Accommodation Deposit Payment Terms: Accommodation deposits are due on completion of your booking. If accommodation deposits are not paid 45 days prior to your arrival date your accommodation booking will be deemed cancelled unless you have been granted an extension in writing by ASN.

Accommodation Cancellation Policy: Accommodation Providers have their own cancellation policies, and they generally apply when cancellations are made less than 30 days prior to arrival. Please contact ASN as soon as possible if you wish to cancel or amend your accommodation. ASN will advise the cancellation policy of your accommodation provider, prior to cancelling or amending your booking, to ensure you are fully aware of any non refundable deposits.

ASN prefers payment by Visa, MasterCard or American Express at time of registration.

Surcharges will be applied prior to finalising your payment and are non refundable. Credit card payments entered via your dashboard will be processed direct by ASN’s payment gateway. Your credit card details will not be stored by ASN.

International Credit Card Payments: Due to the increase in credit card fraud, international credit card payments will not be processed automatically via ASN’s Credit Card Merchant. Your payment will be processed by ASN’s Credit Card Merchant once ASN has reviewed your registration. You may be required to provide a copy of your current passport and the front and back of your credit card prior to your payment being processed. We apologise for any inconvenience caused.

Refund Policy: Refunds are not payable if you simply change your mind, however if your circumstances change please contact ASN immediately via email or phone 61 3 8658 9530 to amend your registration or associated requirements. ASN will refund any fees paid to ASN as a result of amending your registration and/or associated requirements, after taking into consideration the relevant cancellation policy, within 7 business days of receiving a refund request.

Should an Event be cancelled or postponed due to unforeseen circumstances, ASN will endeavour to process a full refund within 90 days of such circumstances becoming known. Refunds will only be processed to the credit card or bank account of the individual, organisation or institution from which the payment was received. Should payment have been via cheque you will be contacted to confirm your current mailing address, and a cheque will be mailed to you.

Provisions:

  1. When we communicate with you, we will generally do so by email or via phone. You agree that email and phone communications are contractually binding in the same way as properly signed and dated documentation sent by post.
  2. Nothing in this agreement or on our website and any website owned, operated, licensed or controlled by ASN shall confer on any third party any benefit or obligation.
  3. If any of these terms is at any time held by any jurisdiction to be void, invalid or unenforceable, then it shall be treated as changed or reduced, only to the extent minimally necessary to bring it within the laws of that jurisdiction and to prevent it from being void and it shall be binding in that changed or reduced form. Subject to that, each provision shall be interpreted as sever able and shall not in any way affect any other of these terms.
  4. No waiver by us, in exercising any right, power or provision in this agreement shall operate as a waiver of any other right or of that same right at a future time; nor shall any delay in exercise of any power or right be interpreted as a waiver.
  5. In the Event of a dispute arising out of or in connection with these terms or any contract between you and us, then you agree to attempt to settle the dispute by engaging in good faith with us in a process of mediation before commencing arbitration or litigation.
  6. We are not liable for any breach of our obligations resulting from causes beyond our reasonable control.
  7. This Agreement shall be governed by and construed in accordance with the law of Australia, and all international governance is expressly excluded.
  8. You are deemed to have accepted these terms and conditions when you proceed with the registration process by ticking “I agree” and selecting continue via your dashboard.
